The Problem

Critical operational workflows ran on manual effort. Filling a teacher absence meant an admin checking schedules and walking the halls; verifying athlete eligibility meant hand-checking medical forms, academic clearances, and consent documents for every student. Things fell through the cracks whenever someone got busy.

The Approach

• Mapped each workflow end-to-end and modeled it in Airtable — schedules, documents, statuses, and ownership in one source of truth.
• Built automations that reach the right person at the right moment: free-period teachers get one-click accept links; coaches get notified the moment an athlete's documents lapse.
• Auto-generated coverage assignments and per-coach rosters that used to be assembled by hand.
• Added tracking dashboards so leadership can see pickup rates, response times, and compliance gaps at a glance.
